Privacy Policy

This Privacy Policy explains how Nineflat Technologies Inc. (“Nineflat”, “we”, “our”, or “us”) collects, uses, and protects your personal data when you use our platform at app.nineflat.com.

1. Data We Collect

We collect data you provide directly (name, email, property details, payment information) and data generated by your use of the platform (activity logs, payment records, session data). We do not sell your personal data to third parties.

2. How We Use Your Data

  • To provide and operate the Nineflat platform
  • To process rent payments and distribute funds to landlords and co-owners
  • To send transactional notifications via email, SMS, and Viber Business Messages on behalf of your landlord or property manager
  • To provide customer support
  • To improve our product based on usage analytics
  • To comply with legal obligations (tax reporting, financial regulations)

3. Data Storage & Security

All data is stored in AWS EU infrastructure (eu-central-1 region). Data is encrypted at rest and in transit using TLS 1.3. Payment data is processed through Stripe’s PCI-compliant infrastructure — we do not store raw card numbers. Access to production systems is restricted to authorized Nineflat engineers.

4. Data Retention

We retain account data for as long as your account is active. Financial transaction records are retained for 7 years to comply with tax and accounting regulations. You may request deletion of personal data by emailing support@nineflat.com; financial records required by law will be retained as required.

5. Third-Party Services

We use the following third-party services to operate the platform:

  • Stripe payment processing (subject to Stripe's own Privacy Policy)
  • Clerk authentication and identity management
  • AWS (Amazon Web Services) cloud infrastructure and email delivery
  • Infobip SMS and Viber Business Message delivery for transactional notifications (subject to Infobip's own Privacy Policy)

6. Your Rights (GDPR)

If you are located in the EU/EEA, you have the right to access, correct, export, or delete your personal data. You also have the right to object to or restrict certain processing. To exercise these rights, contact support@nineflat.com.

7. Email Communications & Consent

Invitations & Consent: When a landlord invites you to manage a rental, we send an invitation email to your address. You must click “Accept” in that email to confirm your identity and accept our Terms of Service before receiving operational notifications.

Email Suppression: If your email bounces or you report emails as spam, we automatically suppress your address to prevent further sends. This protects you from unwanted emails and maintains our sending reputation.

Email Preferences: You can unsubscribe from optional email notifications by clicking the unsubscribe link in any email. Suppression records are kept for as long as necessary to honor your preference.

8. SMS & Viber Notifications

If you have a phone number on your account, we may use it to send you transactional notifications via SMS or Viber Business Messages on behalf of your landlord or property manager (e.g. rent payment reminders). These messages are delivered via Infobip. You may opt out at any time by replying STOP to any SMS message.

9. Cookies

We use essential cookies (authentication session, locale preference) and analytics cookies to understand how the platform is used. We do not use advertising or tracking cookies.
